[Microsoft] Implementation of OneDrive 100GB Storage Limit from July 2025
As announced in our past two notices (dated March 15, 2024, and January 30, 2025), the IIMC (The Institute for Information Management and Communication) has been proceeding with plans to set a 100GB cap on cloud storage services starting in July 2025. This decision is in response to Microsoft's change in cloud storage service policy in August 2023.
After careful consideration, we've decided to implement the previously announced policy of limiting OneDrive storage to 100GB per user, starting July 2025. We're providing the full details of this change, along with information on a temporary mitigation measure exclusively for faculty and staff.
1. OneDrive Usage from July 2025 Onward
If your OneDrive usage is under 100GB, there will be no special changes or procedures. You can continue to use it as you did before June.
If your usage exceeds 100GB, you won't be able to add or edit files, but your existing files will remain in read-only mode. To resume full OneDrive functionality (up to the 100GB limit), you'll need to either delete some files or move them to a different storage medium.
2.For Users Currently Exceeding 100GB
If you were using over 100GB of OneDrive storage as of early May 2025, we've already sent you an individual email. This email explains the upcoming storage limit in July and provides guidance on deleting or moving your files. We plan to send similar notifications to affected users throughout June as well.
For faculty and staff (full-time) with unavoidable reasons, we are offering a temporary storage increase from 100GB to 500GB after July 2025. This is an application-based system. You can find the application form. If you're faculty or staff and can't access the form, please ensure you're logged in with your university-wide Google account (*@kyoto-u.ac.jp) and try again.
Please note: This storage increase is strictly a temporary measure and not a permanent solution. Additionally, since it operates within the university's overall storage capacity, there's a possibility that this temporary measure may be discontinued if our total storage approaches its limit. We ask for your understanding in advance regarding this possibility.
3. Information on Data Storage and Sharing Services for Academic Research
The Institute of Information Environment officially launched "RDM Drive" (RDM Drive and Object Storage) on May 15, 2025. This service is designed for storing and sharing data related to academic research. If you're considering migrating research data from OneDrive, we encourage you to explore using these dedicated storage services.
4. Differentiating Between Storage Services Provided by IIMC
We, IIMC, offers a variety of data storage services, including OneDrive, RDM Drive, and Google Drive. Each of these services has different maximum capacities, sharing functionalities, and other features due to their distinct purposes and historical developments. This means that even for files of the same size, the best service to use depends on your specific needs and the purpose of handling the files.
